Privacy notice

How we collect, use, share, store and protect personal data, and the rights you have under UK data protection law.

This notice is provided for transparency and is not a substitute for legal advice. If you need advice about your own data protection position, take it independently.

01

Who we are

JK Property Sourcing Ltd (company number 14148562), registered in England & Wales with its registered office at 62 Oakly Road, Redditch, England, B97 4EE, is the data controller for the personal data described in this notice.

You can contact us about any privacy matter by email at info@jkpropertysourcing.com or in writing to the registered office above.

02

What personal data we collect

Contact and identification data: your name, email address, telephone number, postal address and, where you apply for client access or engage us, government-issued photographic identification and proof of address.

Financial data: evidence of source of funds, bank statements, mortgage agreements in principle and similar documentation, where required to meet our anti-money-laundering obligations.

Property and instruction data: details of properties you own, wish to buy, wish to sell or wish us to manage, together with your investment criteria and the correspondence generated by your instruction.

Application data: the information you provide when you apply for client access, including your stated objectives, experience, budget range and how you found us.

Technical data: limited information generated when you use this website, such as pages visited and general device information, used to keep the site working and secure.

03

Why we use it, and our lawful basis

To perform a contract with you, or to take steps at your request before entering one — this covers delivering sourcing, management, guaranteed rent and private sale services.

To comply with a legal obligation — this covers anti-money-laundering identity and source-of-funds checks, record retention, and any reporting duties that arise.

For our legitimate interests — responding to enquiries, reviewing applications for client access, maintaining business records, preventing fraud, and improving the service. We consider these interests balanced against your rights and freedoms.

With your consent, where consent is the appropriate basis — for example if you specifically ask to receive occasional written updates. Consent can be withdrawn at any time.

04

Applications for client access

Submitting an application does not create an account and does not grant access to anything. The information you provide is used solely to allow us to review whether we can help you and whether we wish to take the enquiry forward.

Applications are reviewed manually. Where an application is not taken forward, we retain a minimal record of the decision so that we can respond consistently if you contact us again, and we delete the supporting detail in line with our retention approach below.

05

Who we share it with

We do not sell, rent or trade personal data, and we do not share it with third parties for their marketing purposes.

We may share data with professional advisers and service providers where it is necessary to deliver the service: solicitors and conveyancers, mortgage brokers where you ask us to make an introduction, surveyors and valuers, contractors carrying out works, letting and referencing providers, deposit protection schemes, and our own accountants and IT providers.

We may share data with public authorities where we are legally required to do so, including in connection with anti-money-laundering obligations. In some circumstances the law prevents us from telling you that such a disclosure has been made.

06

Where data is held

Personal data is held on secure systems operated by reputable providers. Where a provider processes data outside the United Kingdom, we take steps to ensure an appropriate level of protection is in place as required by UK data protection law.

07

How long we keep it

Enquiry data that does not lead to an engagement is kept for a limited period and then deleted.

Client and transaction records, including anti-money-laundering documentation, are retained for the period required by law following the end of the relationship, after which they are securely deleted.

Records that must be retained for tax or accounting purposes are kept for the statutory period applicable to those records.

08

Your rights

You have the right to be informed about how your data is used, to access a copy of the personal data we hold about you, to have inaccurate data corrected, and to have data erased where we are not required to retain it.

You also have the right to restrict or object to certain processing, the right to data portability where applicable, and the right to withdraw consent where consent is the basis for processing.

To exercise any of these rights, contact us at info@jkpropertysourcing.com. We will respond within the statutory timeframe. We may need to verify your identity before acting on a request.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection.

09

Security

We apply appropriate technical and organisational measures to protect personal data, including access controls, encrypted transmission, and restricting access to those who need it to do their work. No system is completely secure, and we will notify you and the regulator where required if a breach occurs that is likely to affect your rights.

10

Cookies and this website

This website uses only the cookies and local storage necessary for it to function, including keeping approved client users signed in to the client area. We do not use advertising cookies or sell information about your browsing to third parties.
